Many brides naturally assume that someone from our wedding planning team will be by their side throughout the celebrations. It is an understandable assumption. Artificial intelligence has entered our lives at an incredible speed. What once seemed like a tool for a select few tech enthusiasts is now a go-to resource for any query or doubt. Particularly in the wedding industry, AI has become increasingly popular, with many couples seeking its advice on everything from choosing the perfect venue to creating inspiration boards for their decorations.

The Evolution of AI in Weddings

It’s now commonplace to feed AI images and references to create visual boards. However, just over a year ago, this was considered innovative and revolutionary. I vividly remember our first deliberate use of this resource in early 2024. We were tasked with creating a unique Mandap for a bride who wanted something never seen before. She provided us with several references to guide our work:

• – Without a large tree with wide branches available to hang garlands, create a Mandap with a canopy of greenery and pendants to convey the mood of a tree.
• – Use only natural elements and colors for a perfect union with nature.
• – Include specific flowers and greens, such as banana leaves and fragrant flowers like tuberose, avoiding conventional flowers like roses or lisianthus.
• – Use only green and white colors and their shades.
• – Incorporate elements from Puglia, as the wedding was taking place there, and the bride loved the region’s style.

Challenges and Solutions with AI

It wasn’t easy to satisfy our bride. We tried various approaches, including artificial prickly pears and renting olive trees, until we turned to AI to create realistic mock-ups that aligned with her request. The biggest challenge when working with AI is that creating a pleasing setup or design is not enough.

The project must consider the available space, layout, locally available materials, and, crucially, the budget. AI cannot calculate the cost or determine if a design fits the designated space or complements the rest of the event. This is where human intervention, in this case by the wedding planner, is essential to adjust the project and make it feasible.

From Concept to Reality: The Mandap Project

After several attempts, we approved three projects to present to the bride. Approval from our trusted floral designer was crucial, as wedding planners and designers can provide style guidance, but the florist must assess the structure’s stability, material availability, flower resilience, and more. We must also consider the overall picture to avoid presenting couples with designs that might cause logistical or stylistic issues.

Once we sent three complete projects with floral selections (which left the couple very enthusiastic), one particular design captivated the bride. Not only did it align perfectly with her aesthetic request, but it also featured a distinctive element: the Mandap ceiling was not covered with fabric, as usual, but with an intricate rope design converging at the center to create a focal point. It was truly a unique Mandap, just as the bride had requested.

The Complex Execution and Success

Creating that Mandap was complex, especially the rope ceiling, which was commissioned from a craftsman in Puglia. It took weeks to make, and the weight was considerable—not to mention the cost. It was undoubtedly the most expensive Mandap we’ve created so far, but it was worth it! The couples, parents, guests, and suppliers were all thrilled and amazed by the final result. Conclusion: The Importance of Experience

In this instance, AI was incredibly useful, but we’ve also seen couples send us AI-generated projects that were unfeasible. Sometimes due to structural reasons, but often—very often—due to budget constraints. No matter how beautiful AI ideas may be, it’s crucial to have a critical and realistic eye during the evaluation phase. This is where experienced wedding planners are essential, understanding all the behind-the-scenes work and guiding couples correctly. And, of course, collaborating with skilled floral designers who can accurately assess and then execute projects of this caliber.

Lately, there’s been a real boom in micro weddings. Maybe it’s because, after COVID, many couples decided to downsize their guest list, focusing more on the quality of their wedding rather than the quantity of guests. Or perhaps it’s also because some celebrities have chosen to celebrate with only a handful of their closest loved ones, showing that the value of a wedding celebration isn’t linked to the size of the party. Whatever the reason, we’re now receiving more and more inquiries for weddings with fewer than 100 guests.

Why Indian Couples Choose a Micro Wedding in Italy

We know how difficult it is to cut down the guest list for an Indian wedding if you celebrate it at home—numbers often range from 300–400 guests at a minimum, and can easily reach 1,000 people. This is why going abroad often becomes the perfect excuse to reduce the guest list, allowing couples to “naturally” filter invitations.

But more importantly, couples today no longer want just a ceremony with food, music, and rituals. They dream of an Instagrammable experience, a true celebration of their love story set against Italy’s stunning landscapes.

The Misconception: Fewer Guests = Smaller Budget

Since Italy is consistently the number-one choice for foreign couples—and it might not be the most budget-friendly destination—many couples drastically cut down the guest count in order to reinvest that money into the overall experience: the décor, the most stunning villa, or top-tier vendors. But here comes the big question: if you’re cutting down the guest list, what should your budget really be for a micro wedding in Italy?

Sometimes couples assume everything is proportional to the number of guests. In other words: fewer guests = lower budget. Planners often give a “per person” cost as a guideline for Indian couples exploring the idea of getting married in Italy. But this doesn’t really apply to micro weddings. We’ve had inquiries for 20–30 guests with couples expecting to spend €7,000–10,000 — simply because they calculated based on a “per person” rate another planner had suggested. We ourselves have organized a wedding for just 25 people, and another one not long ago for only 12 guests. But how much did those couples actually spend? 

How Does The Budget Work For Micro Weddings

You might be shocked when I tell you that those two weddings costed about the same as weddings for 60–70 guests. How is that possible? Let me explain, because I like to be transparent with couples from the start so they can have realistic budget expectations if they’re considering a micro Indian wedding in Italy.

First of all, let’s clarify that guests at a micro wedding are usually the couple’s closest family and friends. To be considered a micro wedding, the guest list shouldn’t exceed 50, but it often means 20–40 people. And since they’re the dearest people in the couple’s lives, the main request is to stay all together in one villa, turning the wedding into a kind of mini-vacation. Unlike larger weddings, in micro weddings the couple almost always covers the entire villa rental, since these locations usually charge one flat rental fee, not per room. And of course, because it’s family, the couple usually takes care of accommodations for everyone.

On top of the villa rental, there’s often an additional wedding fee, which may include extra cleaning, higher water and electricity usage, and extra staff during the celebrations. Of course, there are different categories of villas. For a 3–4 day rental, prices can range from €10,000 to €60,000—or even much more for luxury estates in exclusive locations. That’s why, when we do Venue Scouting, we always start from the couple’s budget to select the right type of villa, as the options in Italy are endless.

The Hidden Truth: Fixed Costs Don’t Change

You’ve probably heard the term “Fixed Costs”, but have you ever thought about what it really means? Fixed costs are fixed, meaning they don’t change (or hardly change) depending on the guest count. Here we include all vendors: photographers, videographers, makeup artists and hair stylists, priests, dhol players, henna artists, music providers (DJ or live musicians), and wedding planners/coordinators. They will charge more or less the same whether you have 10 guests or 100. Sure, with more guests you might need more henna artists or extra coordinators, but overall, the cost difference is minimal compared to a micro wedding.

And it doesn’t stop there! Let’s talk décor. Your wedding Mandap is a must, and again, it falls under fixed costs: the price is the same whether it’s just you and your parents or 1,000 guests. If you want a beautiful backdrop for your Haldi or a Mehndi station, the cost is also the same. The only décor element that changes is the number of centerpieces, since more guests mean more tables. Everything else remains the same. As you can see, most of your expenses in a micro wedding will be in fixed costs: the villa, vendors, and décor will take the largest share of your budget.

Food: The Only Variable Cost

Food is the one true variable cost in a micro wedding. With fewer guests, catering makes up only 10–20% of the total budget, compared to 50% in large weddings.

Some couples even hire a private chef to cook in the villa, turning the wedding into a gourmet experience —as we did with our 12-guest wedding. Other times, the villa itself provides a chef and service, since the guest count is small. In any case, food is just a small portion of the overall cost of a micro wedding.

Why Choose a Micro Wedding in Italy?

If you don’t save much money, why choose a micro wedding in Italy? The answer is simple: Quality over quantity. The intimacy, the relaxed vacation vibe without being rushed, and the ability to include experiences that would be impossible—or much more expensive—with a bigger wedding. With micro weddings, you also have far more venue options since the guest list is so small. And even if the overall budget doesn’t shrink much, you get to do so much more, often at a higher level of quality.

Idea N 1: Reflect on your style and interests

First of all, a good starting point should be your personal style and your shared interests. Think about what you love to do together and if it can be set as the wedding theme. For example, if you love cinema you can create a movie themed reception. You can use titles of your favorite movies for tables’ names, create a themed photo booth with specific props and a clapperboard of course. You can even think about a red carpet to enter the dinner area and especially project the movie of your wedding at some point of the reception. Of course, you will need to agree with your video makers that they will be able to do the same day editing. 

Another nice theme which is very popular among our couples is the travel theme. For example, for a wedding we created the seating plan with the globe, and each table had the name of the place that the couple visited together. We put polaroid pictures of the couple from each place on the dedicated table, with also some stories from that trip shared on the back of the photos. We used suitcase shaped boxes as the wedding gift to put on each seat. For another wedding with the same theme, the couple used maps on their invitations and then we arranged a guest book corner with small airplanes, with the postcards from their favorite place and with big suitcases as parts of the decor.

Idea N 2: Embrace the essence of Italy with your wedding reception decor

Another idea could be taking inspiration from the chosen wedding location. Whether it’s countryside charm, coastal beauty, or romantic cityscapes, each place in Italy offers a unique vibe that can be used as a theme for your reception. For example, if your reception has the backdrop of Tuscan vineyards, you can incorporate grapes in the centerpieces. Bottles of wine can be used for the seating plan: you can give names of your favorite wines or famous grape varieties to the tables. Burgundy, red and greens would be the right color scheme for this theme.

If you get married in Sorrento or on the Amalfi coast, then you can go for the lemon themed reception. For example, for a wedding we used small lemon trees as centerpieces for the dining tables, while for the cocktail hour we had jars filled with lemons. All the stationery, from the wedding website to the welcome bags was designed by using lemons. We incorporated lemons in the arch where the couple cut the cake. Not only was the cake itself decorated with lemons, but it also had the lemon flavour. For another wedding we created a seating plan by placing a large spiral of lemons, each of them with the individual escort card. 

For a wedding reception on the Amalfi coast we were inspired by Vietri tiles, iconic to that area. A specific combination of shades of blue, yellow and white intersected in a recognizable pattern was used on all the stationery. It included menu and drink cards, tables cards, names tags, and also the giant dancefloor we designed specifically for that reception. All the flowers were in those three colors, for a cohesive look. Cushions, tablecloths and ceramic vases for flowers were also chosen in the same pattern, to highlight the reception decor theme.

Idea 3: Venetian Masquerade ball-inspired wedding reception

Venetian Masquerade is that iconic theme that you can go for even if you don’t get married in Venice. Probably everyone has once dreamed to assist one of those sumptuous balls known for their opulence, mystery, and festive atmosphere. It’s a very elegant theme which would blend perfectly in a high level wedding reception. For one of our couples we incorporated ornate masks in the decor. We used them for the tables’ names, for the seating plan where every guest had an individual mask with their names, to wear during the reception, and also for the wedding cake. We used deep red roses only for the centerpieces alongside many candles, to create a candlelight atmosphere. If you like the idea of the Venetian ball for your reception, you can also use sumptuous fabrics like velvets and silks, and a rich color palette of gold, reds or purples, and emerald greens. 

Idea 4: Complement your wedding reception with the themed entertainment

A great idea would be selecting entertainment matching your reception theme. With the masquerade ball-inspired reception classical music trio or quartet would be ideal to enhance the Venetian ambiance. If you get married in Apulia and have a typical local setting for your wedding reception, then you could hire traditional dancers of the famous local dance pizzica which is very engaging for the guests. For that wedding reception on the Amalfi coast we hired professional performers who were dressed in the same themed outfits to welcome the guests and to perform during the cocktail hour. If you get married in a castle and want a castle-themed reception, you can hire performers dressed in medieval outfits to entertain guests or amazing flag-throwers for the grand entrance of the bride and groom.

Visualize through inspiration

If you don’t have a specific theme already in mind, then you can start from putting together lists of your favorite colors, places, and activities. Once done, you can see what from the list stands out the most for you and reflects preferences of you both. Once you have decided on your wedding theme, then I suggest creating inspiration boards with different elements characteristic for the chosen theme. You can easily do it on Pinterest which is definitely the greatest source of inspiration for the decor themes. While doing that, always keep in mind your reception venue, its shape and specifics as not everything you see online which was used in a different venue can go well with yours. 

Since your wedding reception is in Italy, you can seek inspiration from Italy’s art, landscape, and historical architecture to refine theme ideas. It can even be your same reception venue as a source of inspiration. For example, in a high-end wedding reception in Rome all the stationery featured a watercolor painting of the venue’s facade, which was also used for a very unique seating plan. We framed this giant painting and covered it with individual name cards which, when removed by guests, revealed the complete painting of the villa, creating a stunning unveiling moment.

Conclusion

As you can see, selecting a wedding theme for your reception would tie together all elements and create a cohesive and memorable experience. Not only themed decor, but also themed stationery is important to compliment and accentuate the wedding theme, aligning seamlessly with the overall style. But what is the purpose of the welcome bags? As the name suggests, they are meant to welcome guests who are traveling from abroad to Italy to attend your wedding.

If we think about it, offering welcome gifts is part of the Indian tradition. Even simple flower garlands or small cups of tea served to guests when they arrive at hotels is an old Indian custom. In the case of a destination wedding, you can give different items, but it’s always a nice gesture to make your guests feel welcomed. The main point of all this is the warm reception of guests, making them feel important, showing your love and care for them, and thanking them for traveling, sometimes from the other side of the world, to join you in your celebrations in Italy, possibly spending their own money on the flight and accommodation, just to share in your joy. This small gesture is your first thank you.

What To Include in the Welcome Bags for Your Wedding in Italy

Now, let’s look at what to include in the welcome bags for your celebrations in Italy. First of all, to emphasize that guests are attending your wedding in Italy, I recommend making them feel this Italian vibe right from the beginning. It would be perfect to include Italian goodies that guests can enjoy during breaks. For example, crisps, taralli, cookies, chocolates, and more. Sometimes you can choose items based on your personal taste, or you can select specific goodies from the region where you are getting married. For example, cantucci are typical Tuscan cookies, while taralli are typical of Puglia, almond pastries are typical of Sicily, grissini “breadsticks” of Piedmont. This doesn’t mean you can only include these treats if you’re getting married in those regions. Of course, they are great anywhere, but if you want to highlight the local flavor, you can pay attention to this detail as well.

I always recommend including both sweet and savory items, so that guests have alternatives. Sometimes, you can also add chocolate, such as the famous Baci Perugina chocolates, which are treats of love because they contain a small note inside with a love-themed message. Of course, pay attention to the time of year and the location, as if it’s the peak of summer, it might be too hot, and the chocolate could melt. In that case, it’s better to opt for fruit jelly candies or other sweets. Sometimes you can also add beverages like orange soda or simply bottles of water.

Indian Touch: Yes or Not?

Sometimes couples decide to include Indian goodies as well. Since it’s an Indian wedding, even though it’s in Italy, this cultural touch can be a lovely blend of both culinary traditions. Plus, if you have non-Indian guests at your wedding, they might appreciate something they don’t know, so salty snacks or dry sweets that are individually wrapped could be another nice addition.

Speaking of local items that guests can also take home, you could consider personalized bottles of olive oil, mini bottles of wine, or limoncello, which can have a custom label with your names and wedding logo. You could also add typical souvenirs that guests can keep as a memento of your wedding. These could include ceramic items, decorative tiles to hang, small boxes for keepsakes, or other cute items we can come up with together. In this case, it acts as a wedding gift that’s also a small token of appreciation from the couple to their guests.

Essential Items to Consider for Your Welcome Bags

One thing I believe is essential to include in the welcome bags if you get married in Italy is the itinerary for your events. A program with the times, locations of each function, and important notes like the departure time for buses (if applicable) or the meeting point for the Baraat, for example. Even if the same program is available on your wedding website or you’ve sent it by email or WhatsApp to your guests before the wedding, it’s always better to add it in the welcome bags as a kind reminder. People often forget what they’ve read before arriving, and you risk delays or countless questions about things that could easily be summarized in this brochure. You could also include a map of the resort if you’re at a large venue or simply want to add a graphic touch.

Another nice gesture you can include in your welcome bags is welcome cards, perhaps handwritten by you. Or you could even personalize cards for each guest to make them feel extra special. If you’re not big fans of writing, you can simply add a short thank you note on the first page of the itinerary.

Lately, couples also want to include a recovery kit, which is definitely very useful for weddings that last three days or more. You can decide what to include, but common items are band-aids, electrolytes, safety pins, and sometimes face or eye masks. Some people even add aspirin, though I personally advise against including medicine, as there could be guests with allergies. Mini-sized sunscreen or refreshing water sprays are very helpful if the wedding is during summer. Sanitizing wipes are also useful, as well as anti-mosquito products, depending on the venue.

Choosing the Perfect Container for Your Welcome Bag

And where do we put all these lovely treats? What’s the right container? Of course, it depends on how much you want to invest in the bag itself. You could start with a simple paper shopper or go for an elegant jute bag, maybe with your logo hand-painted on it — the costs can vary significantly.

From our experience, the ideal solution is a tote bag, customized with a logo, names, the wedding location, and perhaps an Italian graphic. This way, you don’t spend too much, and you get a very cute product that’s also useful, as guests can take it home and reuse it. I personally use several tote bags from various weddings we planned, and I find them extremely practical. And let’s not forget that reusing is also eco-friendly, especially in times when we all need to be more conscious of recycling. Some of our couples have even used baskets or trays, which guests can also take home and reuse. Ultimately, decide what you would personally like to receive if you were invited to a destination wedding.

As we’ve seen, a welcome bag is always a lovely idea appreciated by your guests, making them feel loved and welcomed to your Indian destination wedding. Whenever we talk to Indian couples who want to get married in Italy, they emphasize that the choice of our beautiful country is dictated, among other things, by the amazing weather that allows for outdoor weddings. Italian landscapes are famous all over the world: sea, beaches, hills, vineyards, lakes and mountains – you are spoilt for choice, and every couple dreams of their wedding in an idyllic setting with a postcard background.

It is a pity that this pleasant picture can suddenly vanish, and the nightmare of bad weather can erase the rosy dreams of couples. And the question “what is the best time to get married in Italy” inevitably arises at every appointment we make. It would be great to have the right answer and assure the couples that it will not rain that day. Unfortunately, it’s out of my hands. Especially in recent years, due to climate change, it has become impossible to predict the weather. Therefore, the only solution to have a magical wedding is being prepared for unexpected weather, especially rain, if you plan an outdoor Indian wedding against picturesque settings of Italy. Let’s see together how to be well-prepared for unpredictable weather situations.

1. The importance of a Backup Plan

It seems obvious but it is not. Having an alternative plan in case the weather upsets your plans is not only advisable, but absolutely essential, whatever season you choose for the wedding. It can rain even in August, there is no safe month anymore. You need to evaluate your plan B with the same attention you dedicate to plan A. Only in this way can you sleep soundly knowing that you have a backup plan, if necessary.

How do you make sure to have the right plan B? The most important aspect concerns the choice of the wedding venue. Therefore plan B goes hand in hand with the choice of the place that will host your celebrations. There are many beautiful venues in Italy, with wonderful views, with large gardens or terraces, but the internal spaces are not always equally large. Furthermore, with various events that follow one another during the days of the celebrations, it is necessary to have more than one space available. This applies to both indoor and outdoor spaces, as the events are usually divided into function itself and the following meal. Therefore two different spaces are necessary basically for each event. This is extremely important, especially for the wedding ceremony, considering that the food function can’t be set up in the same space as the ceremony.

My advice is always choosing venues that offer a variety of indoor and outdoor spaces, providing flexibility and peace of mind. In fact, when we search for venues for our couples during our Venues Scouting, we always pay a lot of attention to the indoor spaces just to be sure they can still have a beautiful wedding even in case of rain. It happened to us at a previous wedding we planned for a couple, that it rained almost all the time during the 3 days of their events, and we managed to do only one event out of 5 outdoors. But thanks to the variety of spaces in the chosen venue we were able to hold the various events in different places by adapting the setup and creating a dynamic and successful event despite the bad weather.

2. Tents and Coverings

If the venue does not have internal spaces that meet your needs and suggests that you consider a marquis if necessary, pay attention to some important aspects that this decision involves. First of all, the cost: depending on the type of marquis there are very different prices that can greatly affect the total budget of the wedding, and in some cases can even compromise it. The price of the marquis depends first of all on the type of structure you choose, starting from simple modular structures with plastic on the sides up to elegant and luxurious glass marquises. And the prices vary from 2-3 thousand euros up to 50 thousand euros and more. Therefore I recommend that you first do some calculations and see if and what type of covering can fit into your budget. Only after you can evaluate whether that venue is really worth investing in extra money.

If you then decide to proceed with the marquis – either because you have fallen in love with the villa, or because you have extra budget available – you must consider additional aspects that come into play. Building a marquis takes time, it doesn’t appear with the wave of a wand, and so you have to consider the time needed for its setup. It will almost always take a day for setup and a day for dismantling. If you are renting the venue just for the day of the wedding, you will have to pay extra for the extra days. If you are choosing a venue with accommodation on site where you and your guests are staying and where you’re hosting all of your events, having workers building the structure at the same time as the events is not ideal, as in addition to the noise and the passage of people, they are taking up spaces that perhaps you have considered for some pre-wedding events. So keep in mind that a marquis often involves significant costs and quite complicated logistics, and then evaluate your options.

3. Logistics and Communication

Proper management of adverse weather during the wedding is extremely important for the success of the event. For this reason, I recommend creating an action plan based on the weather forecast and sharing it with all suppliers. Coordination of suppliers is essential as each of them has their own needs and timing that must be considered. It is not always possible to change the original plan in a short time. Sometimes the decision to move indoors must be made the day before. Sometimes, however, a few hours’ notice is enough, and to ensure that the plan can be changed quickly, all parties involved must already know what they have to do.

This means that if you do not have a wedding planner and are organizing the wedding on your own, you must consult your suppliers in advance. You must decide together what to do in case of rain at your Indian wedding in Italy. It is no coincidence that we talk about “plan” B: you need a real plan where everyone already knows everything and is ready. Sometimes unstable and conflicting forecasts between the various apps confuse the couples who decide to risk and opt for the original plan even in the event of possible rain. In this case, it is important to think about the comfort of the guests and perhaps buy umbrellas regardless, to have them ready. Obviously, managing the schedules is also crucial, as sometimes, by anticipating or postponing an event for one or two hours, you can avoid the rain.

During our last Indian wedding in Tuscany we had at the end of October, even with the risk of rain, the couple did not want to give up the wonderful view for which they came to Italy. We brought forward the ceremony by an hour hoping to avoid the rain. Even though some suppliers came from far away, we managed to start earlier. So, the entire Baraat and Milni were rain-free, with the groom arriving on his Vespa in a cloud of colored smoke bombs. Unfortunately, as soon as the ceremony began, it started to rain. However, we were ready with umbrellas and a cover over the Mandap that allowed us to celebrate the ceremony outdoors, with the backdrop of a beautiful Tuscan countryside and the towers of Siena.

4. Embrace the Weather

It is clear that almost all couples want not only to get married outdoors, perhaps enjoying a beautiful view, but also want the other events set up outdoors. And when the weather ruins their plans, it is always annoying. Months of planning, money invested, great expectations and then – for an unforeseeable and non influenceable cause – all the plans are turned upside down.

It happened to us once that despite the weather forecast didn’t predict any rain, a storm came down before the final reception. We had already started the setup outside, and the rain caught us by surprise. Due to the intensity of water, it was not possible to move everything inside. Dance platform, lights, long tables – everything was left outside under the pouring rain. Luckily, we had not yet put flowers and the mise-en-place on the tables. So we were able to opt for plan B, reusing the furniture from the lunch but with the evening set up. Unfortunately, the bride was very upset that she could no longer have the original setup. She did not enjoy the evening even though the setup was still beautiful. We were sorry to see her not having fun and not appreciating the efforts of the entire team to create a beautiful reception for her.

My advice to all the couples who may find themselves in a situation like this, is to take it lightly and enjoy the adventure. Embrace the weather and enjoy the wedding with your dearest ones who came all the way to Italy to celebrate with you. Despair and getting angry will certainly not save the situation. Moreover, your guests do not know about the original setup that was planned, and therefore they will appreciate in any case the setup they will see at your event. A close-knit team of vendors, florists and caterers led by a professional wedding planner with great experience, will certainly be able to adapt the original plan to the spaces available and create magic for your Indian wedding in Italy despite the rain.

And then think about the beautiful photos you can take in the rain, where a fairytale atmosphere is created thanks to that light fog that seems to come out of fairy tales. Truly, a photo opportunity not to be missed. Or even right after the rain, perhaps with a rainbow that lights up the sky. After all, in Italy there is a saying “wet bride – lucky bride”. And even in Indian weddings rain is considered a blessing for the couple!

I always say that in Italy there is a huge choice of wedding venues for all budgets to satisfy any type of request. More modern or more classic venues, with or without accommodation, with various types of views, of large or small sizes… you are spoiled for choice. And this can be great for many couples who come from abroad to get married in Italy. And it’s great for us wedding planners because it allows us to work in different places, all wonderful, and travel around Italy instead of always remaining tied to those 2-3 most renowned places. On the other side of the coin, we must consider that given this great variety and the fact that these venues are not all the same (fortunately), it is essential to pay attention to crucial aspects for an Indian wedding and not to rely only on the aesthetic aspect of the villa.

Don’t get fooled by tons of beautiful pictures

In Italy it is very easy to find beautiful villas. You just open Instagram and you will find so many, with beautiful photos and captivating setups. They immediately make you fall in love with the places and make you imagine what your wedding would be like there. Then you save the photo, write down the name, see their website and send a request. And the Instagram algorithm also helps you in your research, and therefore every day you see more and more beautiful venues for wedding in Italy. It becomes an infinite loop, and you end up with a list of 50-60 villas all seemingly beautiful and all in the same style.

I spoke recently to a couple who did just that and sent me a list of about 40 villas located between Tuscany and Umbria. They were looking for a typical Tuscan style place, with stonewalls, olive groves and vineyards, swimming pool and a beautiful view. I just took a look at their list to immediately realize that the only common factor of these villas was their location in the countryside. Therefore, I asked the couple what their search criterion was to understand why they had chosen such different villas. And the answer was “aesthetics”. And this is exactly the main trap couples are likely to fall into.

So, let’s see together what the 4 main criteria are in finding the right villa. And I advise you, Indian couples, to write them down before selecting the possible venues for your wedding in Italy. That will definitely help you shorten the list of venues you have seen on Instagram.

1.Accommodation on site: Yes or No

The first decisive aspect is to understand if you want on-site accommodation or not. This means that if the villa has accommodation, you can all stay there and hold all the events in the same place. If instead it is without it means that for your days of celebrations, you must have separate venues with one or two hotels nearby where you can all stay and then move around by organizing transfers for the various events.

Both solutions are fine, and in our experience, we have had weddings with both options. It is up to you to decide which option you prefer. But be careful, because in the case of an option without accommodation on site you absolutely have to check first if there are nearby hotels for all your guests or if perhaps (for example in the countryside) there are only apartments or typical farmhouses with a maximum of 10 rooms. Because in the latter case there is the risk of having your guests scattered across 10-15 different facilities and far from you. Also bearing in mind that – if we talk about the countryside – it is not as easy to find taxis as in the city and therefore perhaps you force your guests to rent a car or spend a lot on transfers.

2.Secure a Backup Plan

The second important aspect is backup plan. Always take into consideration which events you have and whether they require a food function to follow. Then highlight how many internal spaces and what capacity you need and check if the venue has them and if you like those spaces. Because the venue can have a breathtaking view, but if it doesn’t have the right indoor spaces for your capacity, or the number of interior spaces you need for your events, or if you don’t like them, you’ll end up spending the planning time hoping it won’t rain. Then maybe you’re in a bad luck and it rains. And you’re desperate because you can’t do the same set up inside that what you wanted to do outside. Unless you have a big budget that allows you to rent a marquis. So, plan B is absolutely a decisive aspect in choosing the venue.

3.Indian or Italian food?

The third crucial aspect is the type of food you decide to have at your wedding. Since many villas in Italy have their own internal food provider, should you decide to have full-Indian meals in this type of villa it may not be feasible as they will hardly accept an external catering company. Sometimes they accept the collaboration of their internal brigade with external Indian chefs.Tthis means that the food can be an Italian/Indian mix and not full-Indian. So, depending on your food preferences, always check in advance if the villa has an internal food provider or not, if you can bring external chefs, or if the villa itself can provide Indian food (which obviously you will have to taste to understand if it is to your liking).

4.Beware of the costs

The fourth and last important aspect – and often also the decisive one – is the price. Villas that may seem similar at first glance may have completely different prices. This also depends on one’s conception of “luxury venue” because this term is often associated with gold / crystal decorations, huge spaces, Jacuzzis in the room… While in the Tuscan countryside the term “luxury” is associated with the use of fine local materials all hand-made by craftsmen, with the high-level restaurant service that often may have Michelin stars, with the service offered to guests, with the value of the building itself which often dates back to the Medici era, and many other aspects that affect the price.

It happens quite often that couples fall in love with the villa and then receive a quote that is out of budget for them because the villa is one of the high-end ones. Maybe in the list of villas in Italy that you have saved there could be some facilities that at first glance may seem simple and with a particular design, though they have a fee of 60-70k per night for exclusive use; and other wedding venues that are similar to the first that instead quote you 5k of exclusivity. Therefore, it is pivotal to check the level of price of each specific venue before putting it on your list of venues to visit.

In conclusion…

Obviously these 4 are the criteria that are crucial for us at Best Indian Weddings Italy. However there are many others that we check before including a villa in the list of proposals that we send to a specific couple during our Venues Scouting service. And if you organize your wedding in Italy yourself, you must always keep at least these 4 aspects in mind and check them as soon as you see venues you like. Only then can you decide whether that villa can be an option for your wedding or whether it is already to be discarded.

It’s not obvious at all for many Indian couples that they are going to have a seating plan for their wedding. And sometimes brides and grooms ask us to go without because they don’t consider it necessary. However, the seating plan is not just a piece of decor that you need to have because it’s trendy or because other couples do. The seating plan instead plays a very important practical role. And it can even save your wedding reception.

Yes, the seating plans are usually used for the wedding reception, being it often the only served meal of the wedding celebrations. Other food functions are often served buffet style, being them more informal and shorter functions. But when it comes to the wedding reception the situation changes. This is the most important event after the wedding ceremony, the last one, the most elegant and often the most expensive one. And it’s clear that you want it to be perfect.

So, what are the functions of the seating plan?

First of all, it indicates people where they have to sit. And it’s not as simple as it may look. It’s also useful because it creates a harmonious setup and avoids gaps in the tables between guests. And last but not least, it guarantees a quick and organized food service, to make sure you have a convivial party and your guests feel happy. Does it look like it’s too much for such a small thing as the seating plan?

Well, not really… considering that without a seating plan you could compromise the entire outcome of your wedding reception. And this is why:

• You definitely don’t want your guests to wander around trying to figure out where to sit, and if there’s a spot left at one table instead of another, or have people sit with someone they don’t know because all the other tables are full. Can you imagine the chaos? Especially when you have more than 100 invitees!
• Without the seating plan you risk people moving from one table to the other, moving chairs and mise-en-place and then having some tables crowded and some others half-empty which would look ugly on the pictures. And all your beautiful setup – on which you may have spent a lot of money – will be ruined.
• In all Indian weddings there is a good number of vegetarians, vegans, or people with other food restriction, and you need to know all that in advance to organize the food service accordingly. And when waiters bring out the food, they know exactly where people with allergies or food restrictions are seated. Imagine if the waiters come out and don’t know where to bring what… Not only that would cause delays in the service, but especially people with food restrictions risk not getting the right food.

Do you always need a seating plan?

Not always, as there are cases where you can go with free seating. Firstly, it depends on the number of your guests. If you have an intimate party such as 40-50 people, then you could potentially go without. With such a small number of attendees there wouldn’t likely be many different food arrangements, and it won’t be hard for waiters to sort out where those guests are seated.

Another situation that potentially doesn’t require a seating plan is when you use one long imperial table. Not two or more, but just one. Again, with one long table you wouldn’t likely have many guests, and being it only one table, everyone will have a seat at the same table, with other people seating nearby, so the situation will surely be convivial.

And what about the food service with a long table? Vegetarian and non-vegetarian food will be in any case put in the middle of the table, so that the guests won’t have any issue to have the food they prefer. And how would waiters know where guests with allergies or food restrictions are seated? I suggest letting them know who those people are beforehand, so that they can put a sign on their chairs, maybe a small ribbon or so, so that it’s easy for them to identify those guests.

As you see, a seating plan is not always necessary, however in most of the cases it is, being Indian weddings usually large and since most of the couples usually opt for round tables. I highly recommend it in all the situations, even if it would take you some time and probably some headache to organize it for all your guests, but you won’t regret it, believe me.

And now some inspiration

Now that you understand the importance of the seating plan, you will definitely need some inspiration. The simplest and least expensive solution is a board where to write the tables with all the names, obviously choosing the graphics you like best and which is in line with the décor and wedding theme. If you want something more particular, some of our couples have chosen the seating plan handwritten on a mirror, which is a very elegant idea. Another couple who are wine lovers, chose bottles of their favorite wines where a calligrapher wrote the tables and names. Others opted for a seating plan hung from a tree with ribbons to which cards with the tables and names were attached. Another nice idea chosen by one of our couples, whose wedding theme was ‘Amalfi coast’, is a seating plan made with lemons with escort cards on each lemon.

Couples often ask, “how do we manage all the particular food preferences of our guests?”. This is because in an Indian wedding there are always many guests with different food preferences such as vegetarian, vegetarian no-eggs, vegans, no garlic/onion, no pork, and of course allergies like gluten, lactose, nuts, shellfish etc. And making sure that each guest has dishes that they can eat is extremely important, also because the food itself is one of the most important parts of an Indian wedding. Guests will talk about the food, will try the food, will look at the food presentation. If someone cannot eat because their needs have not been taken into consideration, you risk having the wedding ruined for something that has been underestimated.

So how do you keep all your guests happy?

First of all, you obviously need to know these needs. This information has to be collected in advance to ensure that it is passed on to the villa’s caterer or food provider. This work must be done well in advance to avoid that at the last minute it is no longer possible to meet some needs. Even if food providers in Italy are now well organized – given that even in Italy there are often people with celiac disease or who are lactose intolerant or vegetarian – the guests of an Indian wedding will always be more demanding than those of an Italian wedding.

For example, at a wedding we had 12 types of different needs out of 170 guests, which might have seemed like a nightmare for someone to be able to deal with all this amount of work. But this was not the case for us at Best Indian Weddings Italy, as specialists in Indian weddings we know perfectly well what to expect in terms of food preferences and we are used to facing these critical issues, overcoming them and ensuring that all guests are happy and satisfied.

The right choice of dishes to meet all the food preferences

An important thing to know when working with an Italian food provider, or even an Italian wedding planner who doesn’t have much experience with Indian weddings, is that most of the menus they will send you will either have beef dishes, especially in the countryside, or fish and seafood if you are in a seaside area. Explaining that in an Indian wedding in 99% of cases beef is not eaten, just as octopus or mussels, can be a hassle. So first of all, the menu dish proposals must be calibrated to the Indian wedding, offering a wide choice of white meat and vegetarian dishes.

After that, when you have the starting menu already calibrated in this way, the second step is to choose the dishes that can then be adapted to the various food requirements of the guests without distorting the dish itself too much. Because a vegetarian dish can be requested in a vegan version, or a meat or fish starter should be easily convertible into a vegetarian starter. If once the dishes have been chosen and confirmed, dietary requirements arise which perhaps conflict with the chosen dishes, this could lead to a change of menu or the creation of completely different dishes which could lead to an increase in price.
